Running Multiple Retail Outlets on Shopify POS in Malaysia

By WebCEO Editorial · Published 16 October 2026

The short answer

Malaysian retailers run multiple outlets on Shopify POS by setting each outlet as a separate location in one Shopify store, so inventory, staff, orders and reports are tracked per outlet while customers and products are shared with the online store. POS Lite is included in every plan. POS Pro adds staff permissions, purchase orders and retail reports and is priced per location.

Most Malaysian retail brands that sell online and in malls end up with two or three systems: a web store, a separate POS at the counter, and a spreadsheet that tries to tie them together. Shopify POS removes the second and third. This article covers how multi-outlet retail works on Shopify, what POS Lite and POS Pro give you, and the Malaysian compliance pieces you have to bolt on.

Key facts

  • One Shopify store can run many physical outlets, each set up as a location.
  • POS Lite is included in every Shopify plan. POS Pro adds staff permissions, inventory and purchase orders, and retail reports, and is priced per location. Check Shopify’s current pricing.
  • Products, customers and gift cards are shared across online and all outlets. Inventory and orders are tracked per location.
  • Buy online, pick up in store works out of the box once locations are set.
  • Mall GTO submission and LHDN e-invoicing are not built into Shopify. Both are handled by integrations that read Shopify order data.

How does Shopify handle multiple retail outlets?

Shopify handles multiple outlets by treating each one as a location inside a single store. Every POS device is assigned to a location, and every sale, refund, stock count and transfer is recorded against it.

What is shared across the whole store:

  • Product catalogue, prices and variants.
  • Customer profiles and purchase history, whether the customer bought online or at any outlet.
  • Discounts and gift cards.
  • Reporting at store level.

What is tracked per location:

  • Inventory quantities.
  • Orders and refunds.
  • Staff assigned to that outlet’s POS.
  • Cash drawer sessions and daily totals.
  • Reports filtered by location.

This structure is what makes compliance automation possible. Mall GTO reporting needs each outlet’s sales on their own, and the location model gives you exactly that. See /shopping-mall-gto.

Is Shopify POS Lite enough, or do you need POS Pro?

POS Lite is enough for a single outlet or pop-up that needs to ring up sales and sync inventory. Once you have more than one outlet with its own staff, or you need purchase orders and detailed retail reports, POS Pro is the practical choice.

POS Lite is included in all Shopify plans. POS Pro is a per-location add-on. Shopify lists POS Pro at USD 79 per month per location billed yearly. Prices change, so check Shopify’s current pricing before budgeting.

A common setup for a Malaysian brand with three mall outlets is one Shopify plan, three locations, POS Pro on each, and one iPad per counter. See /shopify-pricing for how the total compares with what you pay now.

How do staff permissions work across outlets?

Staff permissions in Shopify POS let you decide what each person can do at the counter: apply discounts, process refunds, view reports, or change settings. With POS Pro these are set per role and applied per location.

In practice this means:

  • A sales assistant can sell and accept exchanges but cannot refund to cash without a manager PIN.
  • An outlet manager can run end-of-day, adjust inventory and see that outlet’s reports, but not another outlet’s.
  • Head office staff see everything in Shopify admin.

Every action is tied to a staff login, which gives you an audit trail for discounts and refunds. This is the control most retailers are missing when they run cheap standalone POS at each counter.

How does inventory work with several outlets and an online store?

Inventory is held per location, and the online store can be set to fulfil from one or several locations. Transfers move stock between outlets and keep every quantity accurate.

The day-to-day pieces:

  • Stock counts. Count by location, compare to Shopify, adjust with a reason.
  • Purchase orders. Raise a PO to a supplier, receive into a location, and quantities update on receipt.
  • Transfers. Send stock from the warehouse or one outlet to another. Quantities move when the transfer is received, not when it is created.
  • Online fulfilment. Decide which locations can fulfil online orders. A brand with a central warehouse usually fulfils online from there and keeps outlet stock for walk-in sales.
  • Buy online, pick up in store. A customer chooses an outlet at checkout. The order is reserved at that location, staff prepare it, and the customer collects.

The main discipline is that every item that leaves an outlet must leave through Shopify, whether as a sale, a transfer or an adjustment. If staff hand over stock for an online order without recording it, the location’s count drifts and the online store oversells.

What retail reports do you get per outlet?

Shopify gives you sales by location, by staff, by product and by time of day, plus cash tracking and end-of-day summaries, with POS Pro adding deeper retail-specific reports.

The reports owners use most:

  • Daily sales per outlet, compared across outlets.
  • Sales per staff member, for commission and performance.
  • Best and worst sellers per location, to guide transfers and buying.
  • Returns and exchanges rate per outlet.
  • Gross sales per day per location, which is the figure malls want for GTO.

Because online and POS orders are in one place, you also see which customers shop both channels and what they buy where. That is the data most multi-outlet brands never had before.

What compliance pieces do Malaysian retailers need to add?

Two things Shopify does not do natively in Malaysia are mall GTO sales submission and LHDN e-invoicing. Both are added through integrations that read Shopify orders.

RequirementWho asks for itHow it is handled on Shopify
Daily gross sales file per outletMall, under tenancy agreementWebCEO GTO integration reads POS sales by location and submits to the mall. See /shopping-mall-gto.
e-Invoice per order, or consolidated monthlyLHDN MyInvoisWebCEO E-Invoice Malaysia app submits online and POS orders. See /e-invoice.
Customer request for an e-invoice after a counter saleCustomerSelf-service portal, one click, mobile.
Refund and exchange recordsLHDN, your accountantCredit, debit and refund notes generated from Shopify refunds.

Both integrations depend on clean data at the counter. If sales go through POS at the right location, GTO files are right and e-invoices are right. If staff bypass POS, both are wrong. Training staff on the counter workflow is part of the project, not an afterthought.

How do you roll Shopify POS out across outlets without disruption?

Roll out one outlet first, run it for a few weeks alongside the online store, fix the workflow problems, then copy the setup to the remaining outlets.

A typical rollout:

  1. Set up locations, staff roles and the product catalogue in Shopify.
  2. Pick one outlet, install hardware, and train staff on sales, returns, exchanges, end-of-day and the e-invoice request portal.
  3. Run it for two to four weeks. Watch inventory accuracy and the daily GTO file for that outlet.
  4. Fix what broke. Usually it is a refund workflow or a stock transfer habit.
  5. Roll out to the next outlets in batches, with the first outlet’s manager helping train.

If your current web store is on Magento, WooCommerce, OpenCart or PrestaShop, the online migration and the POS rollout can be planned together. See /shopify-migration. Custom checkout fields, loyalty integrations or ERP connections are development work covered at /shopify-development.

Can one Shopify store run several physical outlets?

Yes. Each outlet is a location in the same Shopify store. Inventory, POS staff, orders and reports are tracked per location, while products, customers and the online store are shared.

What is the difference between Shopify POS Lite and POS Pro?

POS Lite is included in all Shopify plans and covers basic in-person selling. POS Pro adds staff permissions, inventory and purchase orders, advanced retail reports and more, and is priced per location. Check Shopify's current pricing.

Does Shopify POS work with Malaysian payment terminals?

Shopify POS records the sale and you take payment through your existing card terminal or e-wallet QR, entering the amount in POS. Confirm with Shopify which integrated card readers are supported in Malaysia at the time you set up.

Can Shopify POS handle mall GTO reporting and LHDN e-invoices?

Not on its own. WebCEO's GTO integration submits daily POS sales files to supported malls, and the WebCEO E-Invoice Malaysia app submits online and POS orders to LHDN MyInvois. Both read the same Shopify order data.

How do I handle stock transfers between outlets?

Use Shopify's inventory transfers to move stock between locations. Each outlet's available quantity updates when the transfer is received, and the online store can be set to fulfil from the location that holds stock.
